Terms and Conditions

Welcome to ThriveWise Coaching Group (“ThriveWise Coaching,” “we,” “our,” or “us”). These Terms and Conditions (“Terms”) govern your use of our website, digital materials, and participation in our individual and group coaching programs, classes, or services (collectively, the “Services”).  By accessing our website or engaging our coaching services, you agree to abide by these Terms. Please review them carefully. If you disagree, do not use our Services.

 1. Scope of Services

ThriveWise Coaching provides life, wellness, and health-related coaching through virtual and in-person sessions, educational programs, and online content. Coaching is a collaborative, goal-oriented process designed to support personal growth, well-being, and clarity of purpose.  Our coaches are not licensed medical professionals and do not diagnose, treat, or prescribe for psychological, physical, or medical conditions. Coaching should not be used as a substitute for psychotherapy, clinical counseling, medical treatment, or other professional health services.

 2. Client Commitment

You agree to take responsibility for your own progress, actions, and decisions. Coaching is most effective when clients engage actively between sessions and remain open to self-reflection, feedback, and change. ThriveWise supports your journey but does not guarantee specific outcomes.

 3. Confidentiality + HIPAA Compliance

All client information shared with ThriveWise is held in strict confidence in accordance with HIPAA Privacy and Security Standards. 

We safeguard your data through encrypted storage, secure communication systems, and limited access by authorized staff. 

Confidential information may be disclosed only:

  •  With your written consent 

  •  When required by law or court order 

  •  If there is reasonable concern for harm to yourself or others 

 4. Payment, Refund + Cancellation Policy

Coaching fees are due prior to the start of services unless otherwise stated in your coaching agreement. 

  •  Cancellations/Rescheduling: A minimum of 48 hours’ notice is required to reschedule a session. Cancellations made with less than 24 hours’ notice may result in forfeiture of the session. 

  •  Refunds: Once services have begun, all payments are nonrefundable. Exceptions may apply only in cases of documented emergencies and will be evaluated at ThriveWise’s discretion. 

  •  Missed Sessions: No-shows will not be rescheduled or refunded. 

  •  Group Programs/Memberships: Full payment or payment plans must be completed regardless of program attendance. 

 5. Intellectual Property Rights

All ThriveWise Coaching materials—including recordings, worksheets, training guides, and branding—are the exclusive property of ThriveWise Coaching. Clients may use materials for personal learning only.  You agree not to copy, reproduce, or share our Content, create derivative works of our Content, or use our Content for any other use without our written permission.  Using the Services does not give you any ownership of our Services or our Content, and you have no right or interest in our Content except the right to use our Content in the manner described here. Reproduction, sharing, or distribution for commercial purposes without express written consent is prohibited.

 6. Communication Boundaries

Coaches are available during sessions and designated check-ins only. Additional communication (email or text) will be addressed during normal business hours. ThriveWise staff are not available for crisis or emergency intervention—if you experience an emergency, please contact 911 or a licensed mental health professional.

7. ThriveWise Coaching Code of Ethics

At ThriveWise Coaching, we are committed to the highest standards of integrity, professionalism, and compassion. All coaches, staff, and clients agree to:

  • Treat all individuals with respect, dignity, and without discrimination of any kind.

  • Uphold confidentiality and privacy in all coaching communications, records, and group interactions.

  • Maintain clear boundaries and act with honesty, transparency, and truthfulness about our services, qualifications, and outcomes.

  • Foster an environment of non-judgment, positive regard, and belief in each client’s capacity for change.

  • Recognize and disclose any real or potential conflicts of interest.

  • Practice within our scope of competence and refer clients to other professionals when needs fall outside our qualifications.

  • Demonstrate responsible stewardship of intellectual property, giving credit and seeking consent for use of others’ materials.

  • Address and report unethical or harmful conduct, whether by staff, coaches, or community members.

Code of Ethics Clause:

All participants, coaches, contractors, and clients of ThriveWise Coaching agree to uphold the ThriveWise Code of Ethics, which is rooted in the National Board for Health & Wellness Coaching (NBHWC) standards. This includes a commitment to respect, confidentiality, honesty, professionalism, and non-discrimination in all in-person, virtual, and related community settings. ThriveWise Coaching reserves the right to investigate reports and, if warranted, take action—including termination of services or removal from group programs—should any breach of these ethical standards occur. This Code applies to all interactions connected to ThriveWise, both within and outside formal program settings, when conduct impacts the safety, trust, or reputation of the organization or its clients.

 8. Liability + Disclaimers

By participating in coaching with ThriveWise, you acknowledge and agree that:

  •  Coaching does not replace therapy, medical care, or mental health treatment. 

  •  You are solely responsible for your physical, emotional, and financial wellbeing. 

  •  ThriveWise Coaching and its affiliates are not liable for any direct, indirect, or consequential damages resulting from the use or application of coaching sessions or materials. 

  •  You agree to hold ThriveWise harmless from any legal claims or disputes arising from your coaching experience.

  9. Termination of Services

Either party may terminate coaching at any time with written notice.  If a client terminates early, any unpaid balances remain due immediately. ThriveWise reserves the right to terminate services for nonpayment, inappropriate conduct, or failure to adhere to Terms.

 10. Privacy Policy Integration

Your use of ThriveWise’s website and services is also governed by our Privacy Policy, which explains our collection, storage, and use of personal data in accordance with HIPAA and other privacy laws. 

 11. Force Majeure

ThriveWise Coaching shall not be held liable for failure or delay in performance due to factors outside our reasonable control, including acts of nature, pandemics, or technical interruptions.

 12. Severability

If any provision of this agreement is found invalid, the remaining sections will remain in full effect.

 13. Governing Law

These Terms are governed by the laws of the State of North Carolina, without regard to conflict of law principles. Any disputes will be handled through mediation before further legal action.

14. MISCELLANEOUS

We may revise these Terms from time to time.  By continuing to access or use the Services you agree to be bound by the revised Terms.  If any clause, provision, covenant or condition of these Terms is held to be invalid, unenforceable, or void, the remainder of these Terms remain in full force and effect.  The entirety of the agreement between you and us consists of these Terms and any written communications between us memorializing the fees you will pay us for our Services, including the Premium Services.  Such written communications are incorporated herein by reference.
